  • Financial records: access to your QuickBooks Online or other accounting platforms, bank statements, invoices, receipts (only as required to perform bookkeeping services you engage us for)

  • Payment information: billing address and payment method for invoicing

Information collected automatically

  • Device information: browser type, operating system, screen size

  • Usage data: pages visited, time spent on site, referrer URLs

  • IP address and approximate location (city-level)

How we use your information

We use the information collected for the following purposes:

  • Delivering the bookkeeping, payroll, and CFO advisory services you engage us for

  • Communicating with you about your account, books, or scheduled meetings

  • Sending you transactional emails (invoices, monthly reports, year-end documents)

  • Business transfers: If RemoteFlow is acquired or merged, your information may transfer to the successor entity, subject to the same protections in this policy.

Data security

We take reasonable measures to protect your information from unauthorized access, alteration, or disclosure. These include:

  • Encrypted connections (TLS) for all data transmitted through our website and client portals

  • Two-factor authentication on all accounting platforms we access on your behalf

  • Encrypted storage of sensitive documents

  • Strict access controls — only Khalil has access to client financial data

However, no online service is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security.

Data retention

We retain client financial records for the duration of our engagement plus a minimum of seven years thereafter, as required by IRS recordkeeping regulations for business records. After this period, financial records are securely destroyed unless we are required to retain them for ongoing legal or tax obligations.

Marketing-related contact information (e.g., from inquiry forms) is retained until you request deletion or for up to two years of inactivity.
